Minutes of Meeting for Tuesday 8th September 2016 - Gipsy Queen P.H.

Meeting Opened - The Chairperson opened the meeting at 1930 welcoming all present. 

1.   Minutes of last meeting and matters arising  

1a Heather Ayling Memorial Garden (Interpretation Board) – Nothing new to report. KPe stated he had recently met Adam Ayling who had enquired about progress with the board.        

1b Accounts – £5,381.51 as at 02.09.16. The Secretary advised this figure includes a donation towards ParkFest costs from Aerial Direct.

2.Volunteers Workday – (August) volunteers continued to progress hedge cutting/bramble lopping and litter picking activities. The Chairperson advised that vegetation had been cleared from around the sensory garden tap as previously requested.  

3.Outdoor Gym – Nothing new to report.  

4.ParkFest16 -  Music: The Secretary advised that he has managed to fill the programme with the exception of an opening act. He further added that he had recently spoken to Martin Barratt and had learned that MBa will not be attending this year due to recent family bereavement. A secondary plan has been put into place with a PA, microphones, drum kit and stage management all taken care of.   

Children’s Entertainment: The Chairperson advised she had arranged for Monica Shilling to take over the story teller activity. The Secretary reported he had met with proprietors from Southcoast Bungees and they were happy with site and water supplies.  

Catering: Hawxhill Catering booked to provide alternative/vegetarian option 

Bar: The Chairperson liaising with Clive Latimer (Gipsy Queen). 

TEN: action complete. 

Event Insurance: arranged – details forwarded to Gosport Borough Council. Council Land Charge – Invoice passed to Chairperson for payment. 

‘Paws in the Park’ Dog Show: Lauren Miller and friends/college colleagues to manage event. Rosettes obtained, LMi to arrange small prizes. Secretary to confirm loan of Motiv8 portable PA.  

Event Resources:  a list of resources and who would supply/provide was drawn up.   

Funding: The Secretary provided further details of the donation (£494.09p) from Aerial Direct and his recent meeting with company Sales and Finance Managers.  

5. AOB  

Community Orchards – KPe had provided details of the park to the www.ptes.org/community-orchards website as previously agreed.
