Minutes of Meeting for Thursday 20th April 2017 - Gipsy Queen P.H

Meeting Opened -
The Chairperson opened the meeting at 1930 welcoming all present.

1.   Minutes of last meeting and matters arising

1a   Heather Ayling Memorial Garden (Interpretation Board) – JPa advised new frame has been manufactured and sent for painting/powder coating. Current expectation is that completed board will be with us by the end of the month. Several members noted the fact that some tidying up of the memorial garden had been undertaken in past few days.

1b   Accounts – No bank statement received.     

2.     Volunteer Workdays - a considerable amount of work completed at the March workday which included orchard weeding and mulching, planting of greengages and violets. The intention for the April event is to carry out bramble/hedge trimming, complete litter pick and sew bee friendly seeds.  

3.    Outdoor Gym – the Secretary announced that he was now in receipt of the formal letter granting approval for this application with two caveats: a. supplying details of how equipment will be fixed to the ground and b. display of signage to BS EN 16630:2015. Some discussion followed re. Fundraising ideas.

4.     Park Furniture - JPa advised there had been no further news from the council but he believed that Diane Dobinson (GBC) remained the appropriate contact and he speak to her for an update on council plans. Following the last meeting Mike Kemp (Groundwork Solent) has visited the site and photographed the flora and fauna display board. He believes he can recreate the original artwork in digital form - KPe able to show an online example. All agreed MKe should continue to develop this theme and that we would make final decision when a template was available. In the interim KPe would liaise with Allspeed Signs and Graphics Ltd to determine potential cost of reproducing artwork.  

5.    Fun Sports Day - The Chairperson advised she had spoken to the event manager who was unable to attend the meeting. During this conversation the following items of information were raised: lack of generator - JPa happy to provide, TEN applied for and advertising posters produced. The Secretary advised he has yet to receive insurance/Risk Assessment documents from Reilly Enterprises who have offered to provide inflatable activities - failure to do so would mean canceling equipment to avoid land hire agreement dispute.   

6.    A.O.B

6a   Scooters on the park - the Secretary tabled details of a note received from David Pollard re the rising number of motor scooters being ridden on the park and in particular around the skatepark. The Secretary further added that he had recently discussed the same issue with local PCSO so police aware. Incidents should be reported to the police at time of observation.

6b   My Pop Rocks - the Secretary reported initial event paperwork has been submitted and that he is in the process of working up the Event Management Plan. With regard to acts he advised he was negotiating with Shep Wooley to headline the event he had also approached Mike Kemp asking if he would support the event with PA. His quote of £50 considered acceptable. Finally Lizzy Parker had contacted the Secretary to ask if we would like a face painter at this event - all happy if she is.  

6c   ParkFest 17 - the Secretary outlined details of action taken to date, this including contacting regular attendees in the course of which he had identified new Moo Music contact who would attend for £40 per session.

6d   Gosport in Bloom - The Secretary had previously circulated an email from GBC requesting volunteer help with the judging process this year.

6e   SPo advised she had reported a case of someone sleeping rough in the park, this had been followed by a visit from council official.
